The smart spreadsheet analysis
Scenario: You've got customer survey data. Now what?
The results are in - your hotel guests have spoken. Some were thrilled. Some… not so much. And now you're staring at a spreadsheet full of comments, complaints, and ratings.
But here's the thing: data doesn't change anything. Decisions do.
In this task you'll use AI to sort, structure and interpret that feedback - so your team doesn't just read the insights… they act on them.
What you'll learn
- How to summarise a messy spreadsheet of feedback
- How to group comments in a way that's actually useful to teams
- How to turn raw data into a prioritised improvement plan
Step 1 - Start with a basic summary
Download the spreadsheet for this activity: dummy hotel guest feedback (XLSX). Take a look before you get AI to work on it - how would you categorise these? What are the common complaints?
Open ChatGPT or Copilot Chat. If your version allows uploads, use the "+" button to upload the spreadsheet. Or paste in a few rows manually. Then:
Look at this spreadsheet of customer complaints and summarise the top issues.
It will give you a quick overview - often helpful, but a bit generic. And it may miss something you noticed. Treat the output as a draft, not the final word.
⬆️ Level up 1 - Organise by team
Can you group the complaints by department (e.g. front desk, housekeeping, food service, facilities)?
This is good prompting because it's good thinking. You're not just asking what the complaints are - you're asking who needs to care.
⬆️ Level up 2 - Suggest what to fix first
Now suggest which areas we should prioritise to reduce complaints. Base it on volume and potential impact.
This turns the AI into an assistant strategist - helping you move from insight to action.
⬆️ Optional Level up 3 - Turn it into a visual
Can you show that in a table or chart to share with the team?
This works especially well in tools like ChatGPT with chart plugins, or Copilot in Excel.
